Conference Fees
As this event is being held in Belgium, we are required to add on a 21% VAT surcharge. In order for you to receive a VAT refund, have your registration paid by your university, institute or company as they have a VAT number. If you prepay personally it is possible you cannot reclaim the VAT. All prices below are without VAT.

Using the appropriate form in Dutch-French-German (the English equivalent is there to get you through the document as the layout is 90% the same). If you are an individual with a VAT number and you have an electronic ID-Card you can use the INTERVAT website to reclaim your VAT. (the English version can be set up once you have clicked on "naar de toepassing" and have logged in with your ID card reader). |

If you are from Belgium then the normal 21% VAT applies and you get it back through the normal quarterly VAT tax return from your company or institution
If you live in the EU then you pay 21% tax and you either get it back through the Tax office of your company or institution (for this it has to have a VAT number) or you contact the address above with a copy of form direct. In both cases you have a VAT number.
If you live outside the EU, you pay 21% VAT and need to use the VAT form (preferably the English one) and insert your incorporation number into the form instead of the VAT number and contact the address above.

The above fees are applicable to those who wish to present a paper and have a second person from the same institute man an exhibit for 2 1/2 days
Registration fees should preferably be paid in EURO's, but can also be paid in the equivalent amount of U$ or GBP. Payment is possible by CreditCard (

When making payments by credit card make sure the credit card you use DOES NOT EXPIRE IN THE SAME MONTH as the submission deadline date as this increases the risk of non-acceptance of your card.
Secondly, always DOUBLE-CHECK if your card number is CORRECT and COMPLETE, if you have included the correct EXPIRY DATE, the card is still VALID, and there are ENOUGH funds on the card, before sending EUROSIS the card information.

Included in the registration fee:
- Free entrance to all sessions of all conferences
- One copy of the proceedings
- Free entrance to the exhibition
- If there are tutorials: free access to a professional development seminar, including material
- All coffee and tea during the morning and afternoon breaks
- Lunches during the full conference days
- The social event for one person, including the conference dinner
- Free company conference visit
Authors are expected to register early (at a reduced fee) and to attend the conference at their expense to present the accepted papers. Without early registration and payment, the paper will NOT be published in the conference Proceedings. In the case of multiple authors, one author should be identified as the person who will act as correspondent for the paper.
STUDENTS
Students who are authors, pay a registration of EUR 370 . To qualify as a student author you need to send in together with your paper a copy of your student card. Student papers are only accepted as student papers if only the name of the student appears as author of the paper or in the case of multiple authors, all authors should be students.

GROUPS
Authors from the same institution or project can present several papers at the event and will qualify for a special discount as a group. (a group denotes at least 3 people). Discounted prices can be requested from Philippe Geril. Prices vary according to submission types and numbers.
VISA DOCUMENTS
If you need an invitation letter to obtain a VISA to enter the country in order to attend the conference please contact the General Conference Chair, who will provide you with such a letter. You will, however, have to have fulfilled the obligations as stipulated in the form, (such as having already paid the registration fee) (visa_request_process) you find on the submissions page. If you have not fulfilled all these obligations then EUROSIS cannot forward you an invitation letter.
At Conference Receipt and Confirmation of Participation
Participants to the conference, can receive an at conference receipt and confirmation of participation only after actual presentation of the paper.
